ABOUT THE ROLE:
The Logistics & Accounts Receivable Coordinator is responsible for managing shipment logistics, customer invoicing, accounts receivable, and communication between Sky’s internal teams, customers, carriers, and manufacturing partners in China. This role ensures orders move efficiently from production through delivery while maintaining accurate billing, timely payment collection, and proactive communication regarding shipment status and order issues.

They take ownership of customer and team requests, actively work to resolve issues through completion, and provide timely updates rather than simply directing others to systems or departments. Key Responsibilities:
Logistics Coordination & Shipment Management
- Manage daily logistics communication with Sky’s team in China regarding upcoming shipments, shipment status, delays, and other logistical questions or concerns.
- Maintain visibility into all active shipments and proactively communicate important shipment updates to customers and internal team members.
- Monitor shipments for customs delays, missing tracking information, carrier issues, or other delivery concerns. Contact carriers directly when additional information is needed and follow issues through resolution.
- Provide customers with prompt and proactive updates when shipments are delayed or experiencing issues, even when a final resolution is not yet available.
- Utilize Sky’s logistics dashboard as the primary system for tracking shipments, orders, estimated delivery dates, and related logistics information.
Cross-Functional Communication
- Lead Sky’s weekly logistics call with the China team, including preparing updates, reviewing upcoming shipments, discussing delays or open issues, and establishing clear next steps.
- Participate in daily team checkpoint calls, weekly logistics meetings, and required in-person quarterly meetings.
- Serve as a key communication link between Sky’s internal teams, customers, carriers, and manufacturing partners to ensure timely and accurate information flow.
Logistics Systems & Process Improvement
- Support the implementation and ongoing development of the logistics dashboard by consistently utilizing the system, providing constructive feedback, identifying information gaps, and recommending process improvements.
- Assist in standardizing logistics processes and transitioning away from manual spreadsheets as information and functionality are incorporated into the logistics dashboard.
- Promote data accuracy and process consistency by ensuring logistics information is maintained within approved systems and workflows.
Accounts Receivable & Billing Administration
- Monitor completed Shopify orders to ensure customer invoices are sent promptly and payments are received within Sky’s established payment terms. Process check payments when needed, document overdue balances on the Late Payment Sheet, and notify the Sales Manager when an account has not been paid within the required timeframe.
- Provide billing support for Shopify-related customer accounts, invoices, payments, and order-related issues.
- Create and update customer invoices in Shopify and make necessary billing adjustments based on approved order changes or reported issues.
- Review the Pre-Shipment Order Issues Sheet and Order Issues Sheet each business day to identify required invoice adjustments, credits, or billing corrections.
Reporting & Order Issue Management
- Prepare and distribute a monthly, quarterly, and yearly Order Issues Report to Sky’s China team, providing visibility into customer-reported issues identified after product delivery.
- Track recurring order, shipment, and billing issues and communicate trends or opportunities for improvement to leadership and cross-functional teams.
- Maintain accurate records and documentation related to shipments, customer issues, invoice adjustments, and logistics performance metrics.

- Experience using spreadsheets (Google Sheets and Microsoft Excel), dashboards, and business reporting tools to track and communicate key information.
